In this article, you'll learn how to change a recurring schedule after it's running, and how to end one when the work stops. Every job in a series carries the series' settings with it, so you can do all of this from any one of its jobs.
To open a recurring schedule:
- Open any job that belongs to the series.
- Stay on the Details tab.
- Scroll past the schedule times to the Recurring Schedule block.
The block starts with a one-line summary: how often the jobs repeat, when the series stops (after a set number of jobs or on a date), and how many days ahead the jobs get created. Under it are the series' settings and a table of every job the series has made so far, with columns Schedule, Team, Status and Job. Click a job number in the Job column to open that job.
Changing settings for the whole series
Three settings in the block belong to the series, not the one job you're looking at. Change one and it applies to the whole series right away. There's no Save button.
- Billing: a dropdown with Charge the card on file, Send an invoice, Collect manually and No billing. A short line under it explains what happens when each job is marked Done.
- Automatically mark each job Done on its day: tick this and the CRM closes each job for you on its scheduled day, which also triggers the billing above.
- Don’t show these jobs on the schedule: tick this to keep the series off the calendar. Jobs already created follow the switch too, except ones that are already Done.
If a billing step failed on a recent job, a Last billing note line shows above the settings with the reason.
Changing one job in the series
A job in a series is a normal job. Open it from the Job column, change its time, items or team as usual, and save. Nothing you change on one job touches the others.
Canceling a single job
To skip one visit without touching the rest, open that job and change its status to Canceled with the Status picker at the top of the page. The series keeps going. See How to cancel a job for what else happens when a job is canceled.
Ending the schedule
To stop the series from creating more jobs:
- Open any job in the series and scroll to Recurring Schedule.
- Click End schedule at the top right of the block.
- Answer the question about the upcoming jobs (see below).
Because jobs are only created a set number of days ahead, there are usually just a few upcoming ones when you end a series. What you're asked depends on whether any exist:
- Upcoming jobs exist. On the web the message reads "End this recurring schedule. Also delete the N upcoming jobs it already created? (Cancel keeps them.)" Click OK to end the schedule and delete them, or Cancel to end the schedule but keep the jobs on the books. On the phone app the choices are Cancel (nothing changes), End and delete upcoming, and End, keep them.
- No upcoming jobs. You're asked "End this recurring schedule? No more jobs will be created." Confirm to end it.
Only upcoming jobs that are still at the Submitted status, with no invoice and no payment on them, are deleted. Anything already billed stays.
Once ended, the summary line shows a CANCELED tag, the End schedule button goes away, and the Billing dropdown is locked. The table of past jobs stays where it is.
