In this article, you'll learn how to create a job from the phone app on your iPhone or Android. It's how you book work while you're on the phone with a customer, in the truck or standing in their driveway, without waiting until you're back at a computer.
To open a new job form:
- On the Home, Conversations, Schedule or Contacts screen, tap the yellow + button on the bar at the bottom.
- Tap New job.
Start from a client's page
If the job is for a customer you already have, start from their page. The form then opens with their details filled in.
- Tap Contacts and open the customer.
- Tap the + at the top of their page.
- Tap New job.
Fill in the New job form
The form is a set of cards. Work down them, then tap Create.
Business
You only see this card if you've linked other businesses to your account. Tap the business the job belongs to. When you pick another business, the form uses that business's job types, sources and crew, and the job goes on its calendar.
Client details
- To use a customer you already have, start typing in Select existing client. Matches show up after two letters. Tap the right person and their details fill in.
- For a new customer, fill in First name, Last name, Client company name, Email address, Phone number and Ext #.
- Need a second number? Tap + Add number.
- For a new customer, use the Source dropdown under Where did they come from? to say how they found you. If you don't pick one, it's saved as Other.
When you've picked a customer you already have, this card shrinks to their name, address and phone. Tap Show more to see or change the rest.
Service location
For a new customer, type the Address, Unit, City, State, Zip and Country.
For a saved customer, tap the Address box instead. If they have one address, it opens straight away. If they have more than one, you pick from a list, or tap Create new property to add one.
Job details
- Job name (optional): a short name that makes the job easy to spot.
- Job type: pick one from your list.
- Job source: pick where the job came from.
- Job description (optional): notes about the work.
If you use Asset Tracking and the job type is one that takes out a unit, a rental section appears under Job type. It shows how many units are free for those dates. If none are, it shows the earliest date that works.
Scheduled
Every job you create here goes on the schedule. There's no switch to turn scheduling off. The form starts on today, at the time your business opens, and runs two hours.
- Set Starts and its At time.
- Set Ends and its At time.
- Tick All-day event if the job takes the whole day. The time boxes go away.
- To repeat the job, tap Set recurring schedule, choose how often and when it stops, then tap Save.
Create the job
Tap Create on the bar at the bottom of the screen. The bar stays put as you scroll, so you can tap it from anywhere on the form. The job's page opens once it's saved. If you booked it for a linked business, you land on the schedule instead.
If a unit booking would mean renting out more units than you have free, you'll see This would oversell. Tap Go back to change the dates, or Create anyway to send it to an admin for approval.
To leave without saving, tap the X at the top left.
