Managing jobs on the phone app

In this article, you'll learn how to run a job from start to finish on the phone app. That means opening it, getting directions, reaching the customer, updating the status, adding items and photos, taking payment and closing it out. It's the flow your techs use in the field, so it's worth knowing before you hand them the app.

Note: What each person sees depends on their role. Someone who isn't allowed to see money won't get the Finance tab, someone without job history access won't see Timeline, and Done and Canceled only show in the status list for roles that are allowed to close or cancel jobs.

Open a job

You can get to a job from the schedule or from your Home screen.

To open a job from the schedule:

  1. Tap Schedule in the bar at the bottom of the app.
  2. Pick Timeline, Day or Map at the top.
  3. Tap the job card to open the job.
Tip: Tap the three dots on a schedule card for quick actions without opening the job: Call, Message, Navigate to, Reschedule, Mark Done and Cancel job.

To open a job from Home:

  1. Tap Home in the bottom bar.
  2. Find the Upcoming work card. It shows the job you're on or the next one due. Swipe left or right to move through the others.
  3. Tap the card to open the job, or tap its three dots and choose Open JOB- followed by the job number.

The job opens with its number and customer name at the top, and three tabs under it: Details, Finance and Timeline.

Get directions to the job

  1. On the Details tab, tap Directions next to the tags. You can also tap the job's address under Client.
  2. On an iPhone, choose Apple Maps or Google Maps. On Android, Google Maps opens straight away.

The app always routes you to the street address on the job, not to the pin on the map.

Call or text the customer

Under Client on the Details tab, the customer's phone number has two round buttons next to it.

  1. Tap the phone button to call them from your business line.
  2. Tap the chat button to open your text thread with them. It slides in over the job, so you don't lose your place.

To see the customer's full record, tap View client details.

Change the job's status

  1. On the Details tab, tap the dropdown next to Status:.
  2. Pick the new status. Sub-statuses are listed under their main status.

The change shows right away. If your company sends an on-my-way text, setting the job to that status texts the customer, and you'll see "On-my-way text is going out to the customer." If they already got one recently, the app asks Send it again? first. See Send an On My Way text for how that text is set up.

Tip: From Home, the three dots on an Upcoming work card also list your on-my-way status (shown as OMW), so you can send it without opening the job.

Add items to the job

  1. Tap the Finance tab.
  2. Tap the + next to Items, or open Items and tap Add item.
  3. Search your price book, pick the item and set the quantity.
  4. Tap Add to job.

The Sub-total, Tax rate, Discount, Total and Due lines update under the items. Tap an item to edit it, or tap its three dots to remove it.

Take photos and videos

  1. On the Details tab, scroll down to Attachments.
  2. Tap the camera button to take a photo or video, or the gallery button to pick from your phone. You can pick up to 10 at a time.

Uploads show in a grid. Tap one to view it full screen, or tap the × on a tile to delete it.

Collect a payment

  1. Tap the Finance tab.
  2. Tap the + next to Payments, or open Payments and tap Add payment.
  3. On Collect payment, check the Amount due. Tap Edit to take part of it.
  4. Pick how you're getting paid: Tap to Pay, Type card manually, Send payment link, a saved card if they have one, or Cash, Check and Other payment methods under Or pay with.

The balance at the top of the job drops as soon as the payment is recorded, even if the customer pays a link on their own phone.

Note: Card payments need Stripe connected first, and only roles allowed to charge cards see the card options. See Connecting Stripe to take online payments.

From the Finance tab you can also tap Create invoice, which reads View invoice once the job has one.

Mark the job Done

  1. On the Details tab, tap the dropdown next to Status:.
  2. Pick Done.

If the customer has to pay before the job can close and still owes money, you'll get a Payment first message with a Record payment button.

Once a job is Done it's locked. A bar at the top says so, and you'll need to change the status back to edit anything. Payments still work on a done job.

Tip: You can also mark a job done without opening it, from the three dots on a schedule card (Mark Done) or an Upcoming work card (Mark done).
