Closing jobs on the phone app

In this article, you'll learn how to close out a job from the phone app once the work's finished. There are two ways to do it: from the job itself, or straight from your Schedule without opening the job.

Closing a job marks the work as finished. It also locks the job, so nobody changes it by accident afterwards.

Closing a job from the job page

To close a job from its page:

  1. Open the job you want to close.
  2. On the Details tab, tap the drop-down next to Status:.
  3. Tap Done.

That's it. There's no "are you sure?" step. The new status shows the moment you tap it and saves in the background.

Note: There's one status for finished work, and it's Done. There's no separate "pending approval" stage before it.

Closing a job from the Schedule

You don't have to open a job to close it. In the Timeline view of your Schedule, every job card has a menu.

To close a job from the Schedule:

  1. Open Schedule and make sure Timeline is selected at the top.
  2. Find the job and tap the three dots (⋯) in the top-right corner of its card.
  3. Tap Mark Done.

The card changes to Done right away. The same menu has Cancel job, Reschedule and quick buttons to call, message or get directions to the customer. Mark Done won't show if the job is already Done.

Who can close jobs

Closing and canceling jobs depend on your role:

  • On the job page, Done only appears in the status list if your role is allowed to close jobs. Canceled only appears if your role is allowed to cancel jobs.
  • From the Schedule menu, if your role can't close or cancel jobs, the change won't go through. You'll see a Status change failed message instead.

If you need to close jobs and can't, ask the account owner to check your role's permissions.

When a customer has to pay first

Some customers have to pay before their jobs can be closed. You can see this on the customer's page under Billing terms, where Allow marking done before payment is switched off.

If that customer still owes money on the job:

  • On the job page, you'll get a Payment first message showing what's still due. Tap Record payment to take the payment now, or Not now to leave the job open.
  • From the Schedule menu, you'll see a Status change failed message saying how much is still due. Open the job to take the payment, then mark it Done.
Tip: If you usually take payment when you finish the work, take it first, then set the job to Done. That way you won't get stopped halfway.

What happens to a Done job

Once a job is Done, it's locked. A bar across the top of the job says This job is done — change the status to reopen it before editing. Tags, notes and the other details can't be changed while it's in that state.

You can still take payments on a Done job, so a customer who pays later can be settled without reopening anything.

To reopen a Done job:

  1. Open the job.
  2. Tap the drop-down next to Status: and pick another status.
  3. Make your changes, then set the status back to Done.
Note: Reopening a Done job is also controlled by role. If your role can't change Done jobs, the status change will be turned down.
