Collecting payments on the phone app

In this article, you'll learn how to take a payment on the phone app, right from a job or an invoice. It's how you get paid before you leave the driveway, or send the customer a way to pay later.

Everything happens on one page, Collect payment. Card payments run through your own Stripe account, so connect Stripe first. Until you do, tapping a card button takes you to the Payments settings screen instead. Cash, check and the other hand-recorded methods work without Stripe.

To open Collect payment from a job:

  1. Open the job and tap the Finance tab.
  2. In the Payments section, tap Add payment.

To open Collect payment from an invoice:

  1. Open the invoice.
  2. Tap Collect payment under Send invoice. You can also tap Add payment in the Payments section.
Note: The Collect payment button only shows on an invoice that still has money owed.
Opening Collect payment from a job

What's on the Collect payment page

At the top you'll see Amount due with what's owed over the job or invoice total. Under that are the ways to pay:

  • Tap to Pay on iPhone (just Tap to Pay on Android)
  • Type card manually
  • Charge card ending ..., when the customer has a card on file
  • Send payment link
  • Under Or pay with: Cash, Check and Other payment methods

If the balance is zero, the buttons are greyed out and the page says Nothing is owed on this job.

Note: The card buttons only show for team members whose role is allowed to charge credit cards. Everyone else still sees Send payment link and the hand-recorded methods.

Changing the amount

The page starts from the full balance. To take part of it:

  1. Tap Edit next to the amount.
  2. In the Amount to collect sheet, type the amount.
  3. Tap Save.
Tip: A part amount applies to cash, check and the other hand-recorded methods. The rest stays on the invoice. A card or a payment link always collects the full balance.

Taking a card with Tap to Pay

Your phone becomes the card reader. The customer taps their card or phone on it.

  1. Tap Tap to Pay on iPhone (or Tap to Pay).
  2. Check the payment summary and tap Approve Amount.
  3. Hand the phone to the customer. They see Would you like to add a tip? and can pick one of your percentages, tap Custom tip amount to type their own, or tap No tip. Then they tap Add tip or Continue.
  4. Under Add your signature, they tap Tap to sign, sign, and tap Pay.
  5. When the screen asks, they hold their card or phone to the phone. You'll see Approved when it goes through.

If tips are turned off in your settings, the tip step is skipped. See Using Tap to Pay on iPhone and Android for setting it up the first time.

Typing a card in

  1. Tap Type card manually.
  2. On the Card payment page, tap Charge and enter the card in the secure card form.
  3. Collect payment updates on its own and shows Paid once the money lands.

Charging a card on file

If the customer has a saved card, tap Charge card ending followed by the last four digits. It charges the full balance right away.

Tap Send payment link, then text or email it. Collect payment shows Listening for payment… and turns to Paid when the customer pays. More in Sending payment links.

Recording cash, check and other payments

  1. Tap Cash or Check. For anything else, tap Other payment methods and pick one, like Venmo, Zelle, Cash App or Bank transfer.
  2. Check the amount. Tap it to change it.
  3. Set the Payment date and add a Check number or Reference number if you have one.
  4. Tap Submit payment.

The payment goes on the job and its invoice. More in Recording cash and other offline payments.
