Sending payment links

In this article, you'll learn how to send a customer a payment link from a job. It's the easy way to get paid when the customer isn't standing in front of you, or would rather pay later from their own phone. The link opens their invoice in your customer portal, and they pay it there.

Note: Customers can only pay by card online once Stripe is connected. Until then, the link still opens the invoice, but the portal tells them online payment isn't set up yet. See Connecting Stripe to take online payments.

Opening Collect payment on your phone

In both the phone app and the CRM website on a phone, the payment link lives on the job's Collect payment page.

To open Collect payment:

  1. Open the job.
  2. Go to the Finance tab.
  3. Tap the + next to Payments, or tap Add payment.

The page shows Amount due in large type, with the job's total next to it.

Choosing how much to collect

To take less than the full amount, tap Edit, type the figure under Amount to collect, and tap Save. A smaller amount only applies to cash, check and the other methods you record by hand. A payment link always asks for everything still owed on the invoice.

Tip: Send payment link is greyed out when nothing's owed. The page says Nothing is owed on this job. instead.
  1. On Collect payment, tap Send payment link. It sits under Tap to Pay and Type card manually. If the job doesn't have an invoice yet, the CRM creates one. If it already has an open invoice, it uses that.
  2. The Send invoice screen opens. Pick Via email or Via SMS at the top.
  3. Check who it's going to in To, or in Send to (phone number) for a text. You can add up to five more people in Cc or Also text.
  4. Check the message. It's filled in from your template, and anything you change here only applies to this send. A "View Document" link to the customer's portal is added after it.
  5. Leave Credit card switched on under Let client pay with: so they can pay by card.
  6. Tap Send. Tap Preview first if you want to see the invoice they'll get.

  5. Tap Send by text or Send by email.

Waiting for the payment

After the link goes out, the page says Listening for payment… and tells you whether the link was texted or emailed. You can leave it open. When the customer pays, it changes to Paid and says the invoice is settled. Tap Done. If they only pay part of it, you'll see Partly paid and how much has come in so far.

Don't want to wait? Tap Stop waiting. The payment still lands on the job and the invoice whenever the customer pays.

On a computer, the payment link goes out as the invoice itself, from the Collect payment panel.

What your customer gets

The customer gets your text or email with a link that opens their invoice in your customer portal, so they don't have to go looking for it. They pay there, and the payment is recorded on both the invoice and the job.
