Setting a client's billing terms

In this article, you'll learn how to set a client's billing terms: whether their jobs can be marked Done before they've paid, and how many days they get to pay an invoice. Use it for commercial accounts that pay on terms, and for residential clients you want paid before the job closes.

Billing terms are saved per client. Every new client starts with Allow marking done before payment switched on and payment terms set to Due on service date. There's no company-wide default to change; you set each client as you need.

To open a client's billing terms:

  1. In the menu, tap Clients.
  2. Tap the client.
  3. Scroll to the bottom of their page, to Billing terms.
Note: Billing terms show on the phone app and on the web when you open the client's page on a phone (or a narrow browser window). The desktop web client page doesn't show them. If you're at a desktop, narrow the browser window, or use the app.

Allow marking done before payment

This switch controls what happens when someone tries to mark a job Done while the job still has a balance.

  • On (the default): the job can be marked Done with money still owed. The invoice stays open and you collect later. Good for commercial accounts, property managers and anyone you bill on terms.
  • Off: a job with a balance stays open until it's paid. If you or a crew member tries to mark it Done, the CRM refuses and tells you how much is still due. Good for residential work and first-time clients.

On the phone app, the refusal shows as a Payment first alert with a Record payment button that opens the payment screen for the amount owed, or Not now to leave the job open.

To change it:

  1. Open the client's Billing terms.
  2. Tap the Allow marking done before payment switch.

It saves as soon as you tap it. You'll see Saved under the terms for a moment.

Payment terms

Payment terms set when this client's invoices are due. The due date is counted from the day the invoice is first sent, in your business's time zone.

To set the terms:

  1. Open the client's Billing terms.
  2. Under Payment terms, pick one:
  • Due on service date: due the day it's sent.
  • Net 30: due 30 days after it's sent.
  • Net 60: due 60 days after it's sent.
  • Other: type your own number of days.
  1. If you picked Other, type the number in the Due … days after the service date box, then tap outside the box to save. Anything from 0 to 365 days works.

You'll see Payment terms saved under the field.

Tip: Changing a client's terms doesn't move the due date on invoices you've already sent them. It applies to the next invoice you send.
Note: The wording that prints under "terms" on your invoices is a separate, company-wide setting. See Setting payment terms for invoices.
