In this article, you'll learn how to put one of your rental units on a job when it's dropped off, and how to bring it back when it's picked up. That's what keeps your yard count, your map and your availability right.
You don't add a quantity of stock to a job here. You pick the exact numbered unit that went out, like #12. And you can only pick a unit that's in the yard right now, so the unit on the job always matches a real unit in your inventory.
To find the units on a job:
- Open the job.
- Scroll down past Team. On a delivery job you'll see the Rental section, and under it Units on this job.
Putting a unit on a job on the web
- In Units on this job, click the box that says Find a unit in the yard.
- A list of every unit in the yard drops down, with each unit's number and its group (for example, 20 yard).
- Type part of the unit number or name to narrow the list. If only one unit is left, you can press Enter to pick it.
- Click the unit you want.
- Click Assign.
Typing a number on its own never assigns anything. You have to pick a unit off the list. If the box says No units in the yard, every unit is already out.
After you assign it, a line under the box shows that group's count, for example "20 yard: 3 in yard · 5 out · 8 total."
Putting a unit on a job on the phone app
- Open the job and scroll to Units on this job.
- Tap Choose a unit from the yard.
- In Units in the yard, type in Search by unit number or name to narrow the list.
- Tap the unit.
- Tap Add.
What happens when you assign a unit
- The unit is marked out, on this job.
- It's pinned at the job's address, so it shows on your maps where it actually sits.
- The yard count for that group drops by one for the rental's dates, so it can't be booked twice.
- On a delivery job, the Rental section shows an Out pill with the number of units.
The unit line on the job also shows how many days it's been on site.
Taking a photo of the unit (web)
On the web, a unit without a picture has a small photo tile on its line. Tap it on a phone or tablet browser to take a picture. The crop tool opens right away so you can frame the unit, and that framed picture is what shows inside its pin on the map. Once it has a picture, use Photo to retake it.
Moving a unit to a new address (web)
If the customer has the unit moved somewhere else:
- On the unit's line, click Move.
- Type the new address in New address.
- Click Move unit.
The pin moves to the new address. The unit stays on the same job.
Bringing a unit back
When the unit is picked up, release it:
- On the web, click Release on the unit's line.
- On the app, tap Release to yard.
The unit goes back to the yard, its pin comes off the map and the yard count goes back up.
You don't always have to do this by hand. When a pickup job linked to the rental is marked Done, every unit still out on that rental goes back to the yard by itself.
Billing is separate
Putting a unit on a job doesn't charge anything. What the customer pays comes from the rental rate, which is a price book item added to the job like any other line. The unit just tracks which one is out and where.
