Phone app overview

In this article, you'll learn your way around the Review Monster CRM app for iPhone and Android. It's the same CRM you use on the computer, built for the truck: your day, your jobs, your texts and calls, all in your pocket. One app covers both kinds of phone, so everything here applies to either.

To open the app:

  1. Open Review Monster CRM on your phone.
  2. Enter your email and password, then tap Sign in.

If you've forgotten your password, type your email first, then tap Forgot password? and a reset link is emailed to you.

Note: The first time you open the app, it asks for everything it needs up front: notifications, the microphone (for calls), the camera and photos, and your location. Say yes so calls, photos and On My Way texts work later.

If you're the first person into a brand-new account, the app asks one question before it opens: What's the sales tax rate where you work? Type your rate, or tick We don't charge sales tax, then tap Let's go.

The Home screen

Home is where the app opens, and it's where it brings you back to if you've been away for more than about ten minutes.

The header

The dark bar at the top holds:

  • The menu button on the left, which opens the side menu.
  • Your company's name.
  • A refresh arrow, which reloads everything on Home.
  • The lightning bolt, which opens Automations.
  • The magnifying glass, which searches everything. You can search by job, invoice or estimate number, client name or phone number.

Under that you'll see a greeting with your first name: "here is your upcoming day."

Needs attention

The white Needs attention card shows a count of things waiting on you. Tap it to drop the list open. It holds jobs that slipped past their day without being closed, plus items like a declined estimate or a signed document. Tap an item to open it. Some items have a Dismiss button, which clears them from the list and from the count on the app icon. Others, like an unread text or a new lead, leave on their own once you deal with them.

Tip: If your login runs more than one business, a card with the company's name sits there instead. Tap it to switch businesses, and Needs attention moves just below it.

Upcoming work

Upcoming work shows one job at a time, starting with the one you're on or the next one due. Swipe left for later jobs and right for earlier ones. Each card shows the day and time, the job number, type and status, the address and the client.

Tap the card to open the job. Tap the three dots for quick actions:

  • Open JOB- with the job number
  • OMW, to set the job to your on-my-way status
  • Directions, when the job has an address
  • Mark done
  • Cancel job

The app asks you to confirm before it changes the job.

Shortcuts and the rest of Home

Shortcuts is a grid of tiles for the features you've switched on in Features, some with a badge count. Tap the pencil next to the heading to change them.

Below that come the same blocks you see on the desktop Home page, such as Sales, Jobs, Cash to deposit, Leads, Estimates and Jobs by status. They follow the order you set on the desktop. You can't rearrange them in the app, so make changes on the computer and the phone follows.

The bottom bar

On Home, Conversations, Schedule and Contacts, a bar runs along the bottom of the screen:

  1. Home
  2. Conversations, for your texts, emails and calls
  3. Schedule
  4. Contacts, your client list
  5. The yellow + button

Tap + to start something new: New job, New lead, New note or New client. At the bottom of that list, Contact lets you send us a note.

What you can start depends on your role, so a team member may see fewer options. On other screens, like a single job or a settings page, the bar steps aside. Use the back arrow or the menu button at the top to get out. If you turn your phone sideways, the bar moves to a rail down the left edge.

The menu

Tap the menu button at the top left of any screen to slide the menu open. Your company's name sits at the top. If your login has more than one business, tap Switch company to change businesses.

The menu is grouped like the sidebar on the computer:

  • Home, Schedule, Map
  • Leads, Jobs, Clients
  • Estimates, Invoices, Price book
  • Phone, OMW, Call tracking, Automations
  • Team, Team Schedule
  • Help Center

Under those is Features, followed by every feature you've switched on there. Pages your role can't open don't show up in the menu at all.

At the very bottom are three buttons:

  • The person icon opens Account, your own login.
  • The gear opens the full settings list, grouped into General, Jobs & leads, Money, Phone & booking, People & data and Account. Only admins see the gear.
  • The last button signs you out.

Unlocking with Face ID or fingerprint

Once you're signed in, the app offers to lock itself behind your phone's Face ID, Touch ID or fingerprint. Tap Turn on to use it, or Not now to skip. You can change your mind any time with the Unlock with switch at the bottom of the menu.

With it on, the app opens straight to the CRM unless you've been away from it for a week. After a week, you'll see a Welcome back screen. Tap Unlock with Face ID (or your fingerprint) to get in. If that won't work, tap Sign in with password. That signs you out on this phone so you can sign back in with your email and password.

Note: The lock is set per person, per phone. If two people share a phone, each one chooses for themselves.
