Deleting a client

In this article, you'll learn how to delete a client. Deleting is for records that should never have been made: a test entry, a wrong number someone saved, or a spare copy with nothing on it.

Note: Only admins can delete a client. If you're not an admin, you won't see the delete option at all.

Before you delete

The CRM won't delete a client who has a job, an invoice or a payment on record. Those records keep the money in your books tied to a name, so the delete is refused and you'll see a message saying how many jobs, invoices or payments are in the way.

If the client you're trying to delete is really a duplicate of someone else, merge the two instead. Merging moves the jobs, invoices, payments and message history onto the record you're keeping. See How to merge duplicate clients.

Tip: Deleting doesn't wipe anything. The client comes off your client list, but the record and everything attached to it (addresses, contacts, notes, estimates, leads and message history) is kept in an archive.

When it's done, you're taken back to your client list. If the client has a job, an invoice or a payment, you'll see the reason in red under the buttons instead, and nothing is deleted.

If you change your mind, click Cancel.

Delete a client on the phone app

To delete a client:

  1. Open Clients and tap the client.
  2. Scroll to the bottom of their page and tap Delete contact.
  3. Tap Yes, delete to confirm.

You can also do it from the client's details: tap the arrow next to their name to open Client details, scroll down and tap Delete customer, then tap Yes, delete.

The confirm box reminds you the client is archived, not erased, and that a customer with jobs can't be deleted. If the delete is refused, the reason shows on the screen and the client stays where they were.
