Adding additional contacts for a client

In this article, you'll learn how to add other people to a client's record and remove them when they're no longer involved. It's handy when a spouse, a tenant, a property manager or someone in the office books the work for the owner, and you want their number and email right there on the client page.

To open a client's additional contacts:

  1. In the menu, click Clients.
  2. Click the client you want.
  3. On the card on the left, under the addresses, click Additional contacts. The number in brackets is how many people are already on file.

If nobody's been added yet, the section reads None.

Note: Additional contacts are on the client page in the CRM on a computer. They don't show on the phone-sized layout or in the phone app, so add and remove them from a desktop or laptop browser.

Adding a contact

  1. On the Additional contacts row, click the + on the right. The section opens with a blank form.
  2. Type their Name. This is the only field you have to fill in.
  3. Add their Phone if you have it.
  4. In Role (spouse, tenant…), say how they're connected to the client, like "property manager" or "office manager". It's optional, but it saves you guessing later.
  5. Add their Email if you have it.
  6. Click Add contact.

The person shows up as a small card in the section: their name and role on the first line, their phone and email underneath. If you change your mind before saving, click Cancel.

Tip: If you click Add contact with the name empty, you'll see "A name is required." Everything else can stay blank and be filled in later by adding the person again.

Removing a contact

  1. Open the client's Additional contacts section.
  2. Click the × at the top right of the person's card.

They come off the list straight away. There's no confirmation step, so make sure you've got the right person.

What an additional contact is (and isn't)

An additional contact is a note on the client's record: a name, a role, a phone number and an email. That's all it does.

  • They don't become a client of their own and don't get their own page.
  • The CRM doesn't send them anything. Review requests, estimates, invoices and automations all go to the client, not to the people listed here.
  • There's no way to mark one as a billing contact or copy them on documents.

If someone needs to get their own estimates and invoices, add them as a separate client instead. And if one of these people should also receive a particular estimate or invoice, you can type more than one email address when you send it.
